FAQS

We use a variety of means to reach out to our candidates including social media, advertising, job fairs, our website, referrals, presentations at various institutions and events for example.
We speak to every candidate that we place so as to get a good understanding of their background, skills and experience.  We screen our candidates quite stringently according to our own standards of operation and ensure that all their documentation is in order before presenting them to you.
We seek to place candidates across all sectors and to fill any type of role.  It is important for us to understand your company’s culture and the nature and requirements of the role so that we can find the best candidate fit for your business.
We encourage all our clients to get in touch with us as soon as they have a vacancy.  The team at Prospects can be contacted by phone, email or through our contact form on our website.  The sooner we speak to you, the sooner we can start working on your requirements and find the right candidate for you.
We shall ask you to provide us with information in writing about the position to be filled (a job description would be ideal) together with the desirable profile of the candidate including their academic qualifications, work experience, skills / competencies and any other attributes which would be deemed desirable by you.
Whether we place a candidate for a permanent or a temporary position with you, we will use the same search and stringent screening process to ensure that we only present the most suitable candidates to you.
The main difference in the way that we approach permanent and temporary placements is in the way that we structure our fees. We will explain how we charge our fees together with our payment terms when we speak to you about your vacancy.
Naturally, we will keep the lines of communication open at all stages of the recruitment process, and you will advise us as soon as you would like to make an offer of employment or for an assignment to a candidate introduced by us.

In the event that you engage a candidate we introduce to you at a later date, but within twelve months as from the date of introduction, we would ask you to advise us immediately.
For all permanent and fixed-term placements, we do ask you to provide us with a copy of the signed contract of employment with any of our candidates, within 7 days of the date of signature of the contract.
When you source a temporary (casual, weekend or seasonal) worker through us, you only need to let us know about the vacancy and the profile of the candidate you are looking for. You don’t need to incur costly advertising fees for the vacancy, screen CV’s or even interview shortlisted candidates.  We do it all for you! We will send you a candidate that fits the profile for the role you are looking for and we will even pay the candidate on your behalf for the duration of their assignment with you.  You won’t need to offer them a contract of employment or make any deductions for PAYE or NSF and NPF.  It’s as easy as that!
For many roles, we will be able to find you a temp straight away.  For positions, which may require particular skills which might be considered ‘rare’ or which are generally more sought after, this may take a little longer.  We will always keep you informed of where we are at with your particular vacancy with an estimate of how long it will take for us to find you someone.
To enable us to find the right candidate for you, we would require the following information:
  • The intended duties of the candidate
  • Any special skills, experience, training, qualifications or any authorisations which you, the law or any professional body would require the candidate to possess to be able to fulfil the requirements of the assignment
  • The date on which you would require the candidate to commence the assignment and the duration or likely duration of the assignment
  • The location of the assignment and the hours that the candidate would be required to work
  • Any actual or potential risk(s) to health and safety which the candidate may face in performing the assignment
It is often the case that a temporary worker is later hired as a permanent member of staff.  In this situation, you should advise us as soon as a verbal offer is made to the candidate and provide us with a copy of a signed contract of employment within 7 days of the date of signature of the contract.  As with all permanent recruitment, you will be charged a placement fee for the engagement of one of our candidates as a permanent hire.
Our fees are competitive and are set out in our Agreement which we will discuss with you from the outset. We also work according to the guidelines provided by the Ministry of Labour for the holders of a recruitment licence and the Recruitment of Workers Act for the placement of permanent workers.

We will advise you of the hourly rate which we charge for the placement of our temporary workers. Our charges are calculated based on a number of factors, such as the skills and experience of the worker and the market rate for the role. We will provide you with more information about our fees when we speak to you about your vacancy(ies).
For casual, weekend and seasonal workers, we will pay them weekly on your behalf. We calculate their pay based on their hourly pay rate and the number of hours they have worked with you each day (or week).
We ask all our candidates who wish to take up casual, weekend or seasonal work, to keep a log of their hours on a time-sheet which we provide to them.  At the end of each week or of their assignment (whichever is the sooner), we will ask you to authorise the number of hours worked by the temporary worker and to send this time-sheet back to us.  As the time-sheet will determine a candidate’s pay, it is extremely important that we receive the authorised time-sheet from you each week, by the cut-off date which will be communicated to you.

You are required to maintain the privacy of any personal information provided to you about a candidate (including the fact that one of the proposed candidates may be seeking a new position). You must not use or disclose confidential information which we communicate to you, without obtaining our written consent. You may however use confidential information that we communicate to you about any candidate for the purpose of engaging our services.
You must identify any information that you require us to keep confidential. Unless you expressly identify this information as confidential, we may use and disclose it, for the purpose of providing and offering our recruitment services to you.
We run free workshops and seminars, provide tips and advice to our candidates to prepare them to present the best version of themselves both at interview and beyond. We want our candidates to leave a lasting positive impression when they are placed with you so that both they and you can make the most out of the work that you do together.

A full schedule of the workshops that we run will be posted on social media and on other online platforms to allow candidates to register and participate.
